You send a normal email, hit the send button, and expect it to appear in the recipient’s inbox. Instead, it disappears into the spam folder. The frustrating part is that you may not have done anything wrong.
Email providers such as Gmail and Microsoft Outlook use automated systems to determine whether a message should reach the inbox. These systems examine far more than the words inside an email. They can consider your domain, sending server, authentication records, previous sending behavior, recipient reactions, and other signals before deciding where the message should go.
That means a completely legitimate email can still be classified as spam. Here are some of the most common reasons.
Your domain is not properly authenticated

One of the biggest reasons email delivery goes wrong is missing or incorrectly configured email authentication.
The three terms you will often hear are SPF, DKIM and DMARC.
SPF, or Sender Policy Framework, tells receiving mail servers which systems are allowed to send email for your domain. DKIM adds a digital signature that allows the receiving server to verify that the message was authorized by the domain. DMARC builds on SPF and DKIM and tells receiving servers what to do when authentication checks fail.
For example, imagine you own example.com but use a third-party email marketing service to send newsletters. If that service is not properly included in your SPF setup or your DKIM configuration is missing, recipients may have difficulty verifying that your message is legitimate.
Google currently requires all senders to Gmail personal accounts to use at least SPF or DKIM, while high-volume senders are required to use SPF, DKIM and DMARC.
Your emails have a poor sender reputation
You can have perfect-looking emails and still have delivery problems if your domain or sending IP has developed a poor reputation.
Email providers look at historical behavior. If messages from your domain frequently generate spam complaints, bounce, or show other signs of unwanted mail, future messages may be treated more cautiously.
Gmail specifically recommends monitoring your domain reputation and spam rate through Google Postmaster Tools. Google says senders should keep reported spam rates below 0.1% and avoid reaching 0.3% or higher.
This is one reason a company can suddenly notice that emails which previously reached the inbox are now landing in spam.
People are marking your messages as spam

Sometimes the problem is not your email system at all. It is the recipients.
If people repeatedly click “Report spam,” email providers receive a strong signal that messages from your domain may not be wanted. This can happen even when the recipients originally subscribed to your emails. Perhaps they forgot signing up, no longer want the messages, or receive too many emails from you.
Google recommends sending messages only to people who actually want them and making it easy for users to unsubscribe. High spam complaint rates can negatively affect future delivery.
You are sending emails from a new domain or IP
A new website or business may have a legitimate email system but no established sending reputation.
Microsoft notes that previously unused IP addresses typically have little or no reputation, so mail from new sending sources can experience delivery problems while the reputation is being established. This is why suddenly sending thousands of messages from a brand-new domain or server can be problematic.
It is generally better to build sending volume gradually, particularly when moving to a new email infrastructure.
You suddenly send a huge number of emails
Email providers pay attention to unusual changes in sending patterns.
For example, suppose your company normally sends 100 emails per day and suddenly sends 20,000 in a few hours. Even if every message is legitimate, the sudden increase can look suspicious.
Google recommends sending at a consistent rate and avoiding sudden volume spikes. For larger sending programs, Google recommends gradually increasing volume and monitoring server responses, spam rates and domain reputation.
Your email list contains old or inactive addresses
An old mailing list can quietly damage your deliverability.
People change jobs, abandon email accounts, create new addresses or stop interacting with newsletters. Continuing to send large numbers of messages to inactive recipients can increase bounces and reduce engagement. This can make your sending activity look less trustworthy to email providers.
Instead of keeping every address forever, regularly remove invalid or clearly inactive recipients and focus on people who actually want your messages.
Your domain is being used by someone else
There is another problem that many website owners do not realize exists: someone may be trying to impersonate their domain.
An attacker can attempt to send fraudulent messages that appear to come from your business. Proper SPF, DKIM and DMARC configuration helps receiving systems identify unauthorized messages and can make domain impersonation harder.
For example, if your real address is [email protected], an attacker may try to send a phishing email pretending to be from that address.
Even though you did not send the malicious message, abuse associated with your domain can create headaches for your organization.
Your email contains characteristics associated with spam
Authentication is important, but it is not the only factor.
Email providers also evaluate the message itself and the overall context in which it is sent. Microsoft says factors such as sending IP, domain, authentication, list accuracy, complaint rates and content can influence filtering decisions. That does not mean using a certain word automatically sends an email to spam. Modern filtering is much more sophisticated than simply searching for words like “free” or “money.”
Instead, providers look at many signals together.
An email with misleading content, an unexpected attachment, suspicious links or unusual sending behavior may receive more scrutiny.
You are using a third-party email service incorrectly
Many websites use services such as email marketing platforms, transactional email providers or CRM systems. This is completely normal, but every system that sends mail for your domain needs to be configured correctly. For example, if your website sends from Google Workspace while your newsletter service also sends from the same domain, your DNS records need to account for the systems you legitimately use.
Google specifically warns that third-party senders should be included in SPF and properly configured for authentication. A single missing DNS record can cause messages from one service to behave differently from messages sent through another.
Your server’s DNS configuration is wrong
Technical infrastructure problems can also affect delivery.
Google’s current Gmail sender requirements include valid forward and reverse DNS records for sending infrastructure. The sending IP should correspond correctly with the hostname associated with its PTR record.
This is especially important for businesses operating their own mail servers.
A poorly configured mail server can have a much harder time establishing trust with receiving providers.
Your From address and authentication do not match
Another subtle problem is authentication alignment.
Imagine your visible From address says:
but the authentication system identifies a completely different domain. The message may still fail the checks required for DMARC alignment.
For high-volume senders, Google requires the domain in the From header to align with either the SPF domain or DKIM domain for direct mail.
This is one of those technical issues that can remain invisible until delivery problems suddenly appear.
Your marketing emails do not provide an easy unsubscribe option
For bulk and promotional email, making it difficult for people to unsubscribe can increase spam complaints.
Google’s current requirements for high-volume senders include one-click unsubscribe for marketing and subscribed messages, along with honoring unsubscribe requests within the required timeframe.
A clear unsubscribe option can actually help your reputation because people have an alternative to simply reporting your email as spam.
How to check why your emails are going to spam
The first step is not to rewrite your email. Check your technical setup.
Start with your domain’s SPF, DKIM and DMARC records. Make sure every legitimate service that sends email for your domain is properly configured.
Next, check your domain and IP reputation. Gmail senders can use Google Postmaster Tools to monitor authentication, spam rates, reputation and delivery information for messages sent to Gmail users.

You should also review your email list. Remove invalid addresses, make sure people actually opted in, and avoid repeatedly sending messages to recipients who never interact with them.

A simple email deliverability checklist
Before blaming Gmail or Outlook, check these basics:

- Your mailing list contains real, opted-in recipients.
- Spam complaints are very low.
- Sending volume is consistent.
- Marketing messages have an easy unsubscribe option.
- Third-party email services are properly authorized.
Email going to spam does not automatically mean you are a spammer. Sometimes your message is legitimate, but your domain has not built enough trust, your authentication is incomplete, your sending behavior has changed, or recipients are sending negative signals.
The good news is that many of these problems can be diagnosed. Once you understand how authentication, reputation, recipient behavior and sending infrastructure work together, you can usually get a much clearer picture of why your legitimate emails are not reaching the inbox.
